Built around how your center actually operates, not how a generic platform thinks centers operate. Role-based access for owners, lead facilitators, and operations staff. Built under your accounts, no platform lock-in.

Intake automation

Client intake configured for the regulated facilitation arc: screening, consent, preparation surveys, integration check-ins. Flows automatically into your client records and into the facilitator's view of who's coming.

Facilitator scheduling and coordination

Who's working with whom, when, and where. Facilitator availability, client assignments, handoffs across preparation and integration sessions, all in one view your team actually uses.

Client records

Where the journey lives. Intake, notes, regulatory documentation, communications, all tied to the client and the facilitator working with them. Built so the next person picking up the file has the full picture.

Regulatory paperwork workflows

Colorado and Oregon natural-medicine programs require specific documentation. The workflows capture it correctly the first time and store it where it needs to live. No retroactive paperwork scrambles.

Room and resource booking

Who's in which room, when, and what they need set up. For centers running multiple sessions in parallel or coordinating shared space, this is where it stops being chaotic.

Billing and payment workflows

Invoicing, payment collection, deposits, refunds, all integrated with the client record and the facilitator's view of who's paid. Customizable for the center's pricing model, not forced into one.

If you're forming a new center, the build can stand up the whole operational layer from scratch. Sequence depends on what licensure approval you have and what's pending.

Internal SOP for your operation

A written guide to every system in the build: schemas, roles, integrations, day-to-day workflows, where to log in, how to update it, what to do when something breaks. Your center's internal source of truth so the next person picking up a file or a workflow has the full picture. Editable as your operation evolves.

Phase 01

Discovery

  • Intro call
    30-min video call. Walk through your operation, what's working, what's pinching.
  • Operational audit
    I sit with your current systems, spreadsheets, and workarounds to find the real gaps.
  • Scoped proposal
    Fixed scope, fixed price, locked to what's actually painful. Reviewed before any deposit.
Phase 02

Scope and build

  • Service agreement signed
    50% deposit to reserve the build window. Cards or ACH.
  • Intake form
    About 45 minutes, configured for healing-center operations: staff, current tooling, regulatory state, where load is piling up. Rough is fine.
  • Kickoff
    90-min working session. Schema, roles, integrations, and edge cases locked.
  • Build sprints
    Three to eight weeks depending on scope. I check in weekly with what's working in staging.
Phase 03

Hand off and stay close

  • Handoff walkthrough
    Working session with owners, lead facilitators, and operations staff. Notes you keep.
  • 30 days of support
    Edits, clarifications, and any setup loose ends as your team settles in.
  • Ongoing as needed
    Hourly or retainer for future changes. No lock-in, you own the systems.
